Terms of Service

Last updated October 7, 2026

The short version

  • 14-day free trial with no card. Paid plans renew until you cancel.
  • Keytrus records rent and deposits. It never holds or moves money.
  • Keytrus is not an emergency service. In an emergency, call 911 first.
  • Landlords stay responsible for following their province’s tenancy, human rights and privacy laws.
  • Vendors are independent businesses. Work agreements are between owner and vendor.
  • You own your data. We don’t sell it.

This summary is for convenience. The full Terms below are what apply.

1.About these terms

These Terms of Service (the Terms) are an agreement between you and Keytrus (Keytrus, we, us), based in Saskatoon, Saskatchewan. They apply to keytrus.ca, the Keytrus web app, and everything we provide through them (together, the Service).

By creating an account or using the Service you agree to these Terms and to our Privacy Policy. If you use Keytrus on behalf of a business, you confirm you have authority to bind that business, and “you” includes it.

2.Who can use Keytrus

  • You must be at least 18 years old, or the age of majority where you live if that is higher.
  • The information you give us must be accurate, and you must keep it up to date.
  • Each login is for one person. Keep your password and sign-in methods secure, and tell us at help@keytrus.ca right away if you think someone else has accessed your account. You are responsible for activity under your account.

3.Accounts, organizations and roles

Keytrus has four kinds of users:

  • Owners and property managers create an organization (a workspace) and manage properties, units, tenants, leases, rent, expenses and maintenance in it.
  • Tenants are connected to a lease by their landlord and can see their lease, rent, documents and maintenance requests, and message their landlord.
  • Vendors (trades and service businesses) receive maintenance work from owners who invite them, send quotes, and complete jobs.
  • Platform administrators are Keytrus staff who run the Service, review vendors and handle support.

The owner of an organization controls it. They decide who joins the team, what each member can do, and what happens to the organization’s data. If you are a team member, your access can be changed or removed by the organization’s owner.

4.Free trial, plans and billing

  • Free trial. New landlord organizations get a 14-day free trial. No payment card is needed to start it.
  • After the trial. When the trial ends you need to choose a paid plan to keep managing your organization. Until you do, access to the owner dashboard is limited. Your data is not deleted when a trial ends (see section 12 for what happens if you close your account).
  • Plans. Plans and their limits (such as the number of properties and team members) are described on our pricing page. Limits are enforced automatically.
  • Prices and taxes. Prices are in Canadian dollars and do not include sales taxes. We add GST, HST, PST or QST as required for your province.
  • Renewal. Paid plans renew automatically every month or year, depending on what you chose, until you cancel. We charge the payment method on file at the start of each period.
  • Cancelling. You can cancel at any time from the Billing page. Your plan stays active until the end of the period you have paid for, and is not renewed after that.
  • Refunds. Fees already paid are not refunded for partial periods or unused features, except where the law requires a refund.
  • Price changes. We will give you at least 30 days’ notice by email before a price change applies to you. It takes effect at your next renewal after that notice, and you can cancel before it does.
  • Failed payments. If a payment fails, we may limit access until it is fixed.

Payments are processed by Stripe. We never receive or store your full card number. Tenants and vendors do not pay to use Keytrus.

5.Rent, deposits and bank connections

Keytrus helps you record and trackrent, deposits and other payments. It is not a bank, payment processor or trust account, and it never holds or transfers your money. Payments such as Interac e-Transfers happen directly between the tenant’s and landlord’s banks.

  • A payment shown in Keytrus is a record entered by a user or matched from a connected bank account. It is not proof that funds were received. Check your bank before relying on it.
  • Landlords remain responsible for their legal obligations around rent, receipts, late fees, and security deposits, including any rules on holding deposits in trust and paying interest under their province’s residential tenancy law.
  • If you connect a bank account, the connection is made through Plaid and is read-only. You sign in to your bank with Plaid, not with Keytrus, and we never see your banking password. Automatic matching of deposits to rent requests is a convenience and can be wrong, so review matched payments.

6.Maintenance and emergencies

Keytrus is not an emergency service.

If there is a fire, gas leak, flood, break-in, medical emergency, or any immediate danger to people or property, call 911 or your local emergency services first. Then contact your landlord directly by phone.

Marking a maintenance request as an emergency notifies the landlord in Keytrus, but we cannot guarantee that anyone will see or respond to it within any particular time. Landlords remain responsible for their repair and maintenance obligations under their province’s residential tenancy law.

7.Vendors and work between users

  • Vendors are independent businesses. They are not employees, agents or contractors of Keytrus.
  • Before a vendor can quote, we review the business details, services and insurance information they give us. This is a limited check of what was submitted. It is not a guarantee of their licensing, insurance, qualifications, or the quality, safety or timeliness of their work.
  • When an owner awards a job, the agreement for that work is between the owner and the vendor. Keytrus is not a party to it. Pricing, scheduling, warranties, payment for the work, and disputes about the work are between them.
  • Vendors are responsible for holding any licences, permits, insurance and workers’ compensation coverage their work requires, and for their own taxes.

8.Your responsibilities as a landlord or property manager

If you manage property with Keytrus, you are responsible for:

  • Following the residential tenancy law of the province where each property is located, including the rules for serving notices. A message sent through Keytrus may not count as valid legal notice. Use the method your province requires.
  • Following human rights laws. You must not use Keytrus to discriminate against anyone on a protected ground.
  • Having the right to put tenants’ and other people’s personal information into Keytrus, including giving any notice and getting any consent privacy law requires.
  • Holding any licence or registration your province requires to manage property for others.

Keytrus does not give legal, tax, accounting or financial advice. Reports and calculations in the Service are tools to help you, not professional advice.

9.Acceptable use

You agree not to:

  • Break the law, or help anyone else break it, using the Service.
  • Harass, threaten, defame or discriminate against anyone.
  • Send spam or unsolicited commercial messages, including messages that break Canada’s Anti-Spam Legislation (CASL).
  • Upload content you don’t have the right to share, or personal information you aren’t authorized to use.
  • Impersonate anyone, or misrepresent your connection to a property or business.
  • Access accounts or data that aren’t yours, probe or test our security without written permission, or get around usage limits or plan limits.
  • Upload malware, overload the Service, or scrape, copy, or reverse engineer it except where the law allows.

10.Your content and data

You keep ownership of the information and files you put into Keytrus (your content). You give us a limited licence to host, store, copy, process and display your content only as needed to run the Service for you and the people you share it with, and to keep it secure and backed up.

We do not sell your content or personal information, and we don’t use it for advertising. Our Privacy Policy explains how we handle personal information.

If you send us feedback or ideas, we may use them to improve Keytrus without owing you anything.

11.Our service

Keytrus, including its software, design and branding, belongs to us and our licensors. These Terms give you the right to use the Service, not ownership of it.

We work to keep Keytrus available and reliable, but we don’t promise it will be uninterrupted or error-free. We may change, add or remove features. If we remove a feature that is central to a paid plan, we will tell you in advance. Parts of the Service rely on third-party services (such as Stripe, Plaid and Clerk) that have their own terms.

12.Suspension, cancellation and closing your account

You can stop using Keytrus and ask us to close your account at any time by emailing help@keytrus.ca.

We may suspend or close an account if you seriously or repeatedly break these Terms, do not pay, or put other users, Keytrus or the public at legal or security risk. Where it is reasonable, we will warn you first and give you a chance to fix the problem.

After an organization is closed, we keep its data for 90 days so you can ask for a copy or reopen it. After that we delete it or make it anonymous, except records we must keep by law (for example billing records needed for tax purposes). Sections that by their nature should continue after the account is closed (such as 13 to 16) continue to apply.

13.Disclaimers

To the extent the law allows, the Service is provided “as is” and “as available”. We don’t make any other promises about it, whether express or implied, including that it will be fit for a particular purpose. We are not responsible for what users say or do, the condition of any property, or the work of any vendor. Nothing in these Terms limits rights you have under consumer protection law that cannot be waived.

14.Limitation of liability

To the extent the law allows:

  • Keytrus is not liable for indirect, incidental, special or consequential losses, or for lost profits, rent, revenue, data or goodwill.
  • Our total liability for all claims relating to the Service is limited to the greater of (a) the fees you paid us in the 12 months before the claim arose, or (b) $100 CAD.

These limits do not apply to liability that cannot be limited by law, such as liability for fraud, or for death or personal injury caused by our negligence. If you are a consumer in Québec or another province whose consumer protection law does not allow some of these limits, those limits do not apply to you.

15.Indemnity

If you use Keytrus for a business (for example as a landlord, property manager or vendor), you agree to cover Keytrus’s reasonable losses and costs from third-party claims caused by your content, your breach of these Terms, or your breach of the law, including tenancy, human rights and privacy law.

16.Governing law and disputes

These Terms are governed by the laws of the Province of Saskatchewan and the federal laws of Canada that apply there. Subject to the next paragraph, disputes will be decided by the courts of Saskatchewan, and you and Keytrus both agree to those courts’ jurisdiction.

If you are a consumer, you may also have the right to bring a claim in the courts of the province where you live, and nothing here takes that right away.

Before going to court, please email us at help@keytrus.ca so we can try to fix the problem. We will try to resolve it within 30 days.

17.Changes to these terms

We may update these Terms as Keytrus changes or the law requires. If a change materially affects your rights, we will tell you by email or in the app at least 30 days before it takes effect. If you keep using Keytrus after that date, you accept the updated Terms. If you don’t agree, you can close your account before then. The date at the top of this page shows when the Terms were last updated.

18.General

  • These Terms and the Privacy Policy are the whole agreement between you and Keytrus about the Service.
  • If a court decides any part of these Terms is unenforceable, the rest still applies.
  • If we don’t enforce a right immediately, we haven’t given it up.
  • You may not transfer these Terms without our consent. We may transfer them as part of a merger, acquisition or sale of our business, and will tell you if we do.
  • Neither of us is responsible for delays caused by events outside our reasonable control.
